Privacy Policy

Quadem Digital Enterprise ("Quadem", "I", "me" or "my") respects your privacy. Quadem is a one-person studio, so where this policy says "I", it means Ernest, who is the only person handling your information. This policy explains what I collect through quademdigital.com, why I collect it, and how I use, store and protect it.
Information I Collect
I collect information in the following ways:
- Information you give me: name, email address, phone number and project details, when you send a contact form, request a quote, book a call, start a live chat or subscribe to my newsletter.
- Information collected automatically: IP address, browser type, device information, pages visited and referral source, collected through the analytics services listed below.
- Client information: if you become a client, the project files, documents, invoices and messages exchanged through the client portal and by email.
- Payment information: when you pay an invoice you are taken to Paystack's own secure page. Your card details are entered there and go straight to Paystack. They never pass through this website and I never see or store them.
How I Use Your Information
- To reply to enquiries and prepare quotes for my services.
- To deliver and manage projects for my clients.
- To issue and chase invoices, and to confirm payments.
- To send newsletters, offers or updates you have opted into. You can unsubscribe at any time.
- To analyse website traffic and improve my content and services.
- To contact you by email or WhatsApp about your project or enquiry.
Who I Share Information With
I do not sell your personal information. I use the following companies to run the business. Each one handles your information only in order to provide its service to me:
- Railway: hosts the database holding enquiries, client records and invoices.
- Vercel: hosts this website and provides its visitor analytics.
- Amazon Web Services: stores uploaded files, images and video.
- Resend: delivers my email, including enquiry notifications, invoices and the newsletter, and holds the newsletter subscriber list.
- Paystack: takes card payments for invoices.
- Google: provides Google Tag Manager and Google Analytics, and the Gemini service described under Artificial Intelligence below.
- Ahrefs and Metricool: provide website and marketing analytics.
- Tawk.to: runs the live chat window, including anything you type into it.
- Calendly: handles call bookings, including the name and email you enter.
- Meta: if you choose to message me on WhatsApp, that conversation takes place on Meta's platform under Meta's terms.
I may also disclose information where the law requires it.
Where Your Information Is Stored
Quadem is based in Ghana, but the services listed above run on servers outside Ghana, mainly in the United States and Europe. Using this website or engaging my services means your information is transferred to and stored on those servers.
Artificial Intelligence
When a new client sends me an onboarding document, I use Google's Gemini service to draft a welcome email summarising it, and the text of that document is sent to Google for that purpose. I read and edit every draft before anything is sent. If you would rather your documents were not handled this way, say so and I will write it by hand.
Cookies and Tracking
This site sets a small number of its own cookies, which it needs to work: one that keeps you signed in to the client portal, and one that remembers whether you chose the light or dark theme. The analytics, chat and booking services listed above set their own. You can turn cookies off in your browser settings, though some features, the client portal included, will stop working.
How Long I Keep Your Information
I keep enquiries and client records for as long as I need them for the purposes set out here, including meeting legal, accounting and tax obligations. If you ask me to delete your information and I am not required to keep it, I will.
Your Rights
You can ask me at any time to show you what information I hold about you, to correct it, or to delete it. Email info@quademdigital.com and I will answer you personally.
Businesses we contact who have not contacted us
We approach businesses directly to offer our services. If you have had an email from us and never asked for one, this section explains why.
What we hold. The business name, a business email address, a business phone number, the website address, the town, and notes about the website itself, such as whether it uses a secure connection or links to social media accounts.
Where it came from. Public sources only. Business listings, directories, and the businesses' own websites. We do not buy contact lists and we do not use personal email addresses where we can tell them apart from business ones.
Why we are allowed to hold it. We rely on legitimate interests: offering services that are relevant to a business we believe could use them. We have weighed that against the interruption of an unexpected email, which is why we contact businesses rather than individuals, keep the messages short, and stop immediately when asked.
How long we keep it. Up to twelve months from collection, or until you ask us to remove it, whichever comes first. If you tell us to stop, we keep only enough information to make sure we never contact you again.
How to stop it. Reply to any email from us and say so, or write to ernest@quademdigital.com. We will remove you and not write again. You do not have to give a reason, and there is nothing to click.
Your other rights. You can ask what we hold about you, ask us to correct it, ask us to delete it, and object to us holding it at all. Write to ernest@quademdigital.com and we will answer within thirty days.
